Step 1:
Select the Maintenance module > Service Program.
Step 2:
Select Create Service Program in the top right corner.
Step 3:
Give the Service Program a title and assign which service task(s) should be included in this program.
Step 4:
Set up the frequency at which Service Program need to be executed. Decide whether each program is a recurring service or a singular occurrence. Service Programs can be scheduled to recur based on mileage, operational hours, or specific dates. For service programs that require activation at various intervals, you have the option to select multiple triggers as needed.
For instance, to have the Tire Rotation task completed every 3,000 miles or every three months, the Service Program will initiate based on the first of these milestones reached.
Finally, determine an end date for this program.
Step 5:
Assign assets to the program. You can select all assets, select a group of assets, or choose an individual asset.
*If you are creating/duplicating similar service programs for different groups of assets, we recommend making your title clear as to what assets are included in the program.
Step 6:
Set up Reminders for yourself and/or other managers well before the Service Program deadline. Reminders can be programmed to activate based on a specified number of miles/hours or a set period before the program is scheduled. This proactive approach ensures timely attention to necessary service tasks, maintaining operational efficiency.
Step 7:
Decide to auto-create Work Orders when the Service Program is due and who it should be assigned to. Select to set up how the reminder will be delivered (notified via the Whip Around dashboard or by email).
Step 8:
Click Save once finished.
Editing a Service Program
Click on the arrow icon next to the program you want to edit.
You can edit any of the items listed in the steps above.
